Verify names with your team

Ask the people on your list to confirm their own pronunciation — in one click.

A list is only as good as its pronunciations. As an Admin, you can email the people on a list a verification link, so they can check how their name sounds and fix it if it’s not right.

How Verification Works

  • You send a verification email to the people on your list
  • Each person gets a link to their own name
  • They confirm the pronunciation if it’s right — or change it by recording their name themselves
  • Your list updates with their confirmed or new recording

How to Send Verification Emails

  1. Make sure your list has an Email column — it’s optional when you upload your CSV, but you need it to verify names
  2. Open the list and tick the names you want to verify, or use the checkbox at the top to select All
  3. In the bar at the bottom, click the envelope icon to email everyone you selected

Tip: Email is optional when you upload a list — but without it, we can’t verify that name. Its pronunciation will only come from our default database. To verify it, add the address to your CSV and upload it again, or record the name with the person instead.

What the Person Sees

When someone opens their link, they land on a page with their name on it. NameShouts plays our best attempt at their name, and they have two options:

  • Option 1: Verify our pronunciation — pick the right language and click Sounds good
  • Option 2: Record their own — click Record my own name if none of our versions sound right

On this page, they can also click play to hear the pronunciation, the snail to hear it slowly, and read the phonetic spelling under their name.

Option 1: Verify Our Pronunciation

Many names are said differently depending on the language they come from. If NameShouts has more than one version, the person can open the language menu and pick the one that matches them — like English, Spanish, or Tagalog. Each choice plays its own pronunciation.

Language menu on the verification page

Good to know: Ask people to try each language and pick the one that sounds most like them — not just the first one in the list.

When they click Sounds good, they’ll see Thank you! and a note that they picked a default recording, along with their name, a Listen button, and the language they chose. That pronunciation is now confirmed on your list.

Changed their mind? They can click I changed my mind, go back to return to the page and record their own name instead.

Option 2: Record Their Own

If none of our versions sound right, they click Record my own name. NameShouts shows a quick checklist first:

  • Find a quiet place, so their name comes through clearly
  • Allow microphone access when the browser asks

Record my Name — Before you begin

They’ll also see an Availability note: the recording won’t be searchable by other NameShouts users. Then they click Next and say their name.

Once they’ve recorded, NameShouts asks them to listen back and make sure everything sounds good:

  1. Click play to hear the recording
  2. Click Add your phonetic spelling to write how the name sounds, like wah-keen ray-ess
  3. Choose the language from Select Language
  4. Happy with it? Click Save Audio. Not quite? Click Record Again

Review the recording, add phonetic spelling, Save Audio

Select Language menu

Last step: they’ll see their name, a Listen button, and the language they chose. They click Confirm Recording to save it — or Re-record my name to try again.

Important: The person must click Confirm Recording to finish. If they close the page before that, their recording isn’t saved — and you won’t be able to see it on your list.

Confirm Recording or Re-record my name

Good to know: Their recording replaces our default version on your list, so everyone reading it hears the name the way the person says it.

See Who Has Verified

Once people respond, you can check their names right on your list. Open the list and switch to list view (the icon next to the grid, above your names).

  • A green check mark next to a name means the person has verified it
  • The source column shows where the pronunciation comes from: NameShouts if they picked our version, or User if they recorded their own
  • No check mark yet? They haven’t responded — or they didn’t click Confirm Recording

Tip: Click play on any name to hear the verified pronunciation. Still waiting on someone? Send their verification email again, or record their name with them in person.

No Email? Record the Name in Person

Some people don’t have an email address you can use — like students without school email, or guests at an event. If you can talk to them directly, you can record their name on the spot. See Edit a name and record the correct pronunciation.

TL;DR

  • Admins can email a verification link to the people on a list
  • Option 1: people pick their language and click Sounds good
  • Option 2: people click Record my own name, record, Save Audio, then Confirm Recording — or you won’t see it
  • Verified names show a green check mark on your list
  • Names need an email address to be verified — without one, we use our default database
