Understanding workspace roles

Viewer, Editor, Admin, and Owner — who can do what, at a glance.

Every workspace supports different roles, so you can decide who can view, edit, or manage what. Whether you’re sharing a single list or running an entire school account, roles keep things clear and secure.

The 4 Workspace Roles

Role View shared lists Edit lists Manage members Change settings
Viewer Yes No No No
Editor Yes Yes No No
Admin Yes Yes Yes Yes
Owner Yes Yes Yes Yes (and can’t be removed)

Viewer

Viewers have read-only access to shared content.

They can:

  • View shared lists
  • Listen to name pronunciations

They can’t:

  • Add or edit lists
  • Add, edit, or delete names
  • Pin or unpin names
  • Change any workspace settings

Good to know: Viewers still get their own Private Lists and Favorites list inside the workspace — and those are fully editable, just for them.

Editor

Editors work with the content in shared lists, but don’t manage people or settings.

They can:

  • Add, edit, move, or delete shared lists
  • Add and remove names
  • Pin or unpin names

They can’t:

  • Invite new members
  • Change member roles
  • Edit the workspace name or settings

Admin

Admins manage the workspace itself — not just the content. On top of everything an Editor can do, Admins can also:

  • Invite or remove members
  • Change roles (Viewer, Editor, Admin)
  • View pending invites
  • Turn Domain Sharing on or off

Owner

Every workspace has one Owner — the person who created it. The Owner:

  • Can do everything an Admin can
  • Can’t be removed from the workspace
  • Is the fallback if every other Admin leaves

Tip: Each workspace has just one Owner — but you can promote as many people to Admin as you need.

TL;DR

  • Viewer = see everything, edit nothing
  • Editor = edit lists, not people
  • Admin = manage both content and people
  • Owner = full control, and can’t be removed
