Private vs. shared lists
Keep some lists to yourself and share others with your team — your call.
Inside a workspace, every list lives in one of two zones: Private Lists, which are just for you, and Shared Lists, which everyone in the workspace can see.
Your Private Lists
You always get a private zone — even in a workspace you didn’t create, and even if you’re only a Viewer.
- Only you can see and edit your private lists, even when the workspace is shared
- You get your own Favorites list in every workspace you’re part of
- You can create, edit, and delete lists, add names (in multiple languages if needed), and pin or unpin entries
Tip: Think of it like having your own desk in a shared office — you can work freely, even if you can’t change what’s on the walls.
Shared Lists
Shared lists are visible to everyone in the workspace. What you can do with them depends on your role:
- Viewers can browse shared lists and listen to pronunciations
- Editors and Admins can add, edit, move, and delete lists, add and remove names, and pin or unpin names
Moving a List from Private → Shared
- Go to your Private Lists section
- Find the list you want to share
- Click More Options (⋯) next to the list name
- Select Move to Shared Lists, then confirm
The list is now visible to everyone in your workspace with access to shared content.
Moving a List from Shared → Private
- Go to your Shared Lists section
- Click More Options (⋯) next to the list
- Select Move to Private Lists, then confirm
Once it’s moved, only you can see or edit it.
Who Can Move Lists?
Only Editors and Admins can move lists between the private and shared zones. Viewers can’t move lists, edit shared lists, or change a list’s visibility.
Good to know: Need to move a list but don’t have the access? Ask your workspace Admin to update your role.
TL;DR
- Private lists are yours alone — even in someone else’s workspace
- Every workspace gives you your own Favorites list
- Shared lists are visible to the whole workspace
- Only Editors and Admins can move lists between zones
